Your calls and customer data deserve careful handling.
This policy explains what DileAI collects, why we use it, when we share it, and the choices available to customers and callers.
1. Scope and roles
This policy covers the DileAI website, dashboard, support tools, telephone receptionist, and related services. For information a business customer supplies or collects through its receptionist, that customer generally decides the purpose and means of processing and DileAI processes the information to provide the service. Callers should contact the business they called for requests concerning that business’s records. DileAI remains responsible for information it uses for its own account administration, security, billing, and product operations.
2. Information we collect
- Account and business information: names, work email addresses, company details, business hours, services, staff permissions, receptionist instructions, and calendar settings.
- Call and contact information: caller number, date, time, duration, routing events, caller-provided name and contact details, conversation transcripts, summaries, intent, appointment details, and notes.
- Audio: live audio is processed to operate the receptionist. DileAI does not currently make call recordings available or retain them as a standard dashboard feature. If recording is enabled later, the product and this policy will be updated and customers must provide legally required notice and obtain legally required consent.
- Billing and transaction information: plan, subscription status, referral attribution, invoices, and limited payment metadata. Payment card details are handled by the payment processor and are not intended to be stored by DileAI.
- Technical and usage information: device, browser, IP address, authentication events, feature interactions, errors, fraud signals, and internal call-volume and service-cost data.
- Calendar information: calendar identity, availability, event details needed to offer and create appointments, and authorization tokens. We request only the permissions needed for configured booking features.
3. How we use information
- Provide, route, personalize, test, secure, and support the receptionist service.
- Answer calls, identify intent, create summaries, route urgent matters, and book appointments as configured by the customer.
- Authenticate users, administer workspaces, process billing, prevent abuse, troubleshoot errors, and measure reliability and costs.
- Improve features and models using de-identified or aggregated information where reasonably possible. We do not sell personal information or use customer call content for third-party behavioral advertising.
- Comply with law, enforce agreements, protect people and the service, and investigate fraud or security incidents.
4. AI processing and service providers
DileAI uses communications, artificial-intelligence, hosting, database, authentication, calendar, payment, email, analytics, monitoring, and support providers to operate the service. These providers may process information on our behalf under contractual restrictions. Information may also be disclosed when required by law, to protect rights or safety, in a business transaction, or with the customer’s direction. The receptionist may produce inaccurate output; customers must review configuration and should not use it as the sole source for emergency, medical, legal, financial, eligibility, or other consequential decisions.
5. Retention and deletion
We retain information for only as long as reasonably needed to provide the service, meet contractual and legal obligations, resolve disputes, maintain security, and enforce agreements. Retention periods vary by data type and customer configuration. Customers can request deletion through dashboard support. Some information may remain in backups, security logs, financial records, or legal holds for a limited period. Customers are responsible for establishing lawful retention settings for caller information they control.
6. Security
We use administrative, technical, and organizational safeguards appropriate to the nature of the information, including access controls and protection in transit. No system is completely secure. Customers must protect credentials, limit team permissions, keep instructions free of unnecessary sensitive data, and notify us promptly of suspected compromise.
7. Choices and rights
Depending on location, individuals may have rights to access, correct, delete, restrict, or receive a copy of personal information, or object to certain processing. Customers can update much of their account information in the dashboard. Callers should first contact the business they called; DileAI will assist that business as appropriate. Requests may require identity verification and may be limited by applicable law. Marketing communications can be unsubscribed from, but essential service notices will continue.
8. U.S. service, children, and sensitive data
The service is operated for U.S. businesses and is not directed to children under 13. Customers may not intentionally use DileAI to collect children’s information without all required authorization. Do not configure the service to collect payment card numbers, Social Security numbers, account passwords, protected health information without a signed business associate agreement, or other sensitive data unless DileAI has expressly approved the use in writing and suitable safeguards are enabled.
9. Changes and contact
We may update this policy as the service or law changes. Material changes will be communicated through the service or by email and will show a new effective date. Privacy questions and requests may be submitted through DileAI Support in the customer dashboard.
